Budget plans can be refined along two dimensions as desired. On the one hand, expected sales and costs can be spread over months. On the other hand, accounts and tags can be used to differentiate between different categories.
In the budget plan, the accounts from KLARA's accounting are taken over. In accounting, the accounts of the P&L statement can be refined as desired with tags. As in the picture, for example, the account "Sales of goods and services" with the tags "Events" and "Bar". The “Bar" tag is further refined with the two tags "Beverages" and "Snacks". In accounting, tags are listed in order with parent tags first. In order to be able to make a target/actual comparison later, the same tags must be used for the same accounts in the budget plan and in KLARA accounting.
Depending on how detailed the plan should be, amounts are entered at the desired level. For example, a number can be entered at the level of total turnover, total turnover per month, total turnover per account or day, and also turnover per month for a specific account or day. If a number is adjusted, the subordinate fields are adjusted proportionately. The same applies to the costs.
For example:
If the total revenue for the "Events" tag belonging to the "Net revenue from goods and services" account is increased by 1’000.- in the image above, all subordinate fields will also automatically increase proportionately. In this case, this is the revenue from events per month. In July and August, when there are company holidays, the fields will remain 0. In March, when various events take place, more of the 1'000.- additional expected turnover is allocated than in February.
This function can also be used to enter expected ratios between different budget items.
For Example:
It is expected that for the “Bar" tag, the two subtags will make up around 60% “Beverages" and 40% “Snacks”. Then, in a first step, 60 and 40 can be entered into the fields. Then the expected total costs can be entered for the “Bar" tag. The sub-tags “Beverages" and "Snacks" are extrapolated in the specified ratio.
