The service period calculates the allocation of an amount over a longer period of time. This allows it to be accrued when it extends over two different years and any potential change in VAT to be taken into account. Service periods can be entered:
- In the invoice header
- In the item itself when entering the order/invoice
- For recurring invoices
- For supplier invoices
Service period at the item level
If the service period is entered in the invoice header, this period is used as the default value for all items.
The period can be adjusted for each item. For further calculations in accounting (e.g., VAT), the service period at the item level is always used.
If the service period includes multiple VAT rates (e.g., a subscription with a term of 1 year. In 2023, 7.7% VAT must be charged, and from 2024, 8.1% VAT), the item is split.
When the item is split, the quantity and VAT are calculated in proportion to the service period.
Important: For inventory, the withdrawal must be made according to the split quantity
Service periods at the item level are not printed in the layout. There is a merge field that can be used to add the printout via an individual layout
«order.label.servicePeriodLbl» (Header)
«items.servicePeriod» (Item level)
Service period for recurring invoices
In the template for recurring invoices, service periods can be entered in the invoice header and subject line using variables. By entering a service period, KLARA automatically calculates the accruals.
When the invoices are generated, the variable is replaced with the date of the corresponding service period
