Introduction
Under Company > Settings > Bank relationship you can enter the bank and set up the connection.
Entering the bank is required for issuing invoices with payment information, for the cash register, and for the payroll module.
You can also connect the bank so that all transactions from your bank account are automatically synchronized with KLARA.
Enter Bank
Enter the IBAN of your bank. Currently, Swiss IBANs are accepted; you can create multiple accounts.
Define what the bank account is used for: payroll, receivables, or payables.
QR Code on Invoices
Enter the setting for invoicing or for generating the CR code:
| No ESR/QR invoice | With this setting, no QR code is created when invoicing. (Invoice without a structured reference number.) The IBAN entered above is sufficient. |
| QR invoice with creditor reference | The QR code is created when invoicing with the creditor reference; the normal IBAN is sufficient. Can be used internationally (including SEPA). |
| QR invoice with QR IBAN | QR IBAN + QRR → Switzerland/Liechtenstein, successor to ESR, guaranteed automatic payment allocation. Entering the QR IBAN is required to send invoices via e-Bill. e-Bill will not work without the QR IBAN. |
By default, the settings are configured without collective postings and with the debit notification according to the bank's settings. To use synchronization and reconcile transactions per posting, it is important that collective postings remain disabled.
Collective Postings
| Setting | Effect | When useful |
|---|---|---|
| Inactive (default) | Each transaction is posted individually | Normal case – important for receivables reconciliation when individual customer payments should be assigned to individual outstanding invoices |
| Active | Multiple transactions are combined into one collective posting | Accounts with very high transaction volumes (e.g., many small daily amounts), where individual postings unnecessarily inflate the accounting records and 1:1 assignment to outstanding items is not required |
Debit Notification
| Setting | Effect | When useful |
|---|---|---|
| According to the bank's master data (default) | Uses the default specified by the bank for this account | Normal case when there is no special requirement |
| No debit notification | No separate notification; only the total amount appears on the account statement | When detailed monitoring is not required (e.g., low payment volume) |
| Individual notification | Each individual outgoing payment is reported/posted separately | For salary payments to many employees or collective payment runs with many suppliers, when each individual payment should be traceable in the journal (e.g., for audits/payroll reconciliation) |
Connect Bank – Synchronize Bank
- To do this, click the Set up connection button.
- Read the instructions and information carefully and complete the process step by step.
- If the button does not appear, your bank account cannot be connected to KLARA.
- In this case, use the camt file to reconcile your accounts. We are continually working on integrating new partners.
Please note that this connection process must be started in KLARA and that, depending on the bank, you may be redirected to e-banking during the process, where you must log in to provide final approval. At the very end, you will be redirected back to KLARA and log in to complete the process. With PostFinance, you must also submit a form to the bank in writing.
- In the Accounting section, under Sync, you can now synchronize your bank account.
- Your bank account transactions are automatically updated once per night.
- Transactions are loaded only from the time of activation onward.
- This means that older, past bank transactions are not synchronized. You can upload these via a camt.053 file. For more information, see the following article: Transaction file for bank reconciliation: CAMT.053d
- You can also now generate payment files (supplier invoices and salaries) in KLARA and transmit them to e-banking. Since we only have transmission authorization, the payments must also be approved in e-banking after transmission. This means that your bank account is not debited when the payment file is transferred; the file is only sent and will be available in e-banking for approval after approximately 30 minutes.
Important: Please also note that in KLARA, the company account is always connected via a contract number. Since this is a personal number, only the user who set up the bank connection can automatically transmit payments to the bank. The same contract number cannot be shared by multiple users.
Why Isn't the Bank Synchronizing (Completely)?
Is synchronization not working, or are transactions arriving incomplete or grouped together? Payments may not be assigned, for example. Check the items in the table below.
Have all items been fulfilled, or did it work previously and then stop? > Disconnect and reconnect.
| Check your KLARA settings: | Check with the bank which data is provided: | Your bank does not offer it: |
|
Collective postings must not be activated. Invoices are issued with the reference number. (Better assignment.) |
The bank must provide the correct file. This is configured differently depending on the bank. Contact your bank directly about this: Transaction file for bank reconciliation: CAMT.053d – KLARA Support Center |
Synchronization is not possible with all banks. However, this also works with the manual transaction. |
Alternative Bank Connection Procedure
For the banks listed below, the connection procedure via Settings differs:
PostFinance
The process also starts in KLARA under Company – Bank relationship by clicking the Set up connection button.
However, you will not be redirected to e-banking to provide approval. Instead, an application form is automatically created and prefilled with your data from KLARA. You do not need to make any additions; KLARA automatically fills everything in.
Print out the forms and sign both. You must then send them to PostFinance.
You can also find the documents later in your document storage under "Company – Documents – Accounting" in KLARA.
Please note that PostFinance processes your application and that this may take some time. Please contact PostFinance if you have questions about the status of your application. Once your application has been processed and the connection from KLARA to your account has been approved, your bank transactions will be automatically uploaded to KLARA daily from that point onward, and you can send payment files to PostFinance. After approximately 30 minutes, the payments will be ready for approval in your e-banking.
Raiffeisen and Basler Kantonalbank (automatic connection currently not possible)
These two banks do not require prior activation. Once you have entered your bank account under Company – Bank relationship, you can go directly to Sync in KLARA and click the Sync now button. The login window for your e-banking will then appear in KLARA, and you can log in to synchronize your bank transactions.
Unlike the banks mentioned above, there is no daily automatic data exchange here. This means that you must always provide your consent via in-app login to retrieve transactions or transmit payment files.
Luzerner Kantonalbank
Fully automatic synchronization has not yet been set up for LUKB. To load the transactions, you can click the Sync now button. LUKB sends transactions up to and including the previous day by 9 a.m. each day. Therefore, transactions from the previous day may not yet be included if you try at an earlier time.
